Privacy Policy

Effective and last updated 27 August 2026. Arthropix is a product of Lynsoft LLC.

1. Who we are

This Privacy Policy describes how Lynsoft LLC, a Wyoming limited liability company that offers the Arthropix product (“Arthropix,” “we,” “us,” or “our”), collects, uses, discloses, and protects information in connection with the Arthropix operations platform and this website. Arthropix is a product of Lynsoft LLC, not a separate legal entity.

2. Scope and roles

Arthropix is business software used by pest-control companies (each a “Customer”). This Policy covers two distinct roles.

When we are the controller

We decide how to process information about marketing-site visitors, demo and pilot inquiries, Customer account administrators, and our own billing and support records (“Account Data”). This Policy governs that processing.

When we are the processor

Customers enter operational records about their own clients, service locations, technicians, inspections, photos, locations, traps, routes, and portal users (“Customer Data”). For Customer Data, the Customer is the data controller (or equivalent under applicable law) and Lynsoft LLC processes that data on the Customer’s instructions to provide the Services. If you are an end customer, site contact, technician employed by a Customer, or portal user, contact the pest-control company that invited you. We will redirect requests about Customer Data to that Customer unless the law requires us to respond directly.

If a signed order form, pilot letter, or data-processing addendum conflicts with this Policy as to Customer Data, that agreement controls for the conflict.

3. Services covered

This Policy applies to:

  • the public marketing website at arthropix.com;
  • the business web dashboard used by Customer staff;
  • the professional mobile application used by technicians and supervisors;
  • the customer portal used by a Customer’s invited end customers; and
  • related support, demo, and sales communications (email, including [email protected] and [email protected]).

4. Information we collect as controller

Information you give us

  • Contact and company details when you request a demo or pilot (name, email, company, technician count, how you work today).
  • Account credentials and profile fields for Customer staff (name, email, role, organization, language preference).
  • Support correspondence and attachments you send us.
  • Limited billing contact details when we invoice a Customer. We do not store full payment-card numbers on Arthropix systems. If a payment processor is used later, that processor’s terms apply to card data.

Information collected automatically

  • Device and log data: IP address, browser or app type, operating system, language, referring URL, pages or screens viewed, timestamps, and error logs.
  • Approximate location inferred from IP address (for example city or country).
  • Cookie and similar identifiers on the marketing site and web apps.

If you do not provide information required to operate an account or respond to a request, we may be unable to provide that part of the Services.

5. Customer Data we process

Customers and their Authorized Users may submit, and we process on their behalf:

  • Client and contact records (names, emails, phone numbers, addresses, commercial notes).
  • Service-location records, including addresses and map coordinates.
  • Staff and contractor records needed to assign work (name, role, contact, schedule).
  • Planned visits, daily routes, route stops, and related operational status.
  • Inspection sessions, notes, exception reviews, trap inventory, zone names, and proof-of-service reports.
  • Photographs and other files captured in the field (pest photos, trap or site evidence, optional floor-plan images).
  • Precise geolocation collected when a technician grants location permission (for example at scan or visit arrival). We do not request background or always-on tracking.
  • Customer-portal invitations, grants, and the portal user’s login identity.
  • In-product commercial notes a Customer records about how it sold portal access to its own clients (including optional MXN amounts). Those notes are Customer metadata. They are not Arthropix invoices.

Customers must not upload children’s data, health or medical records, payment card numbers, government ID numbers, or other specially regulated data except as the Services expressly support and applicable law allows.

6. How we use information

We use Account Data, and we process Customer Data, to:

  • provide, maintain, secure, and support the Services;
  • create and administer organizations, roles, and access controls;
  • respond to demo, pilot, and support requests;
  • send transactional messages about the account or service;
  • send product or marketing email where permitted. You may opt out of marketing email. Transactional messages are not marketing;
  • monitor abuse, prevent fraud, and enforce our Terms;
  • improve reliability and diagnose errors; and
  • comply with law and establish or defend legal claims.

We may create de-identified or aggregated statistics that no longer identify a person or Customer and use those for operations, research, and product improvement.

Where a legal basis is required, we rely on: performance of a contract; legitimate interests in operating a secure B2B service that do not override your rights; consent where we ask for it (including certain device permissions and marketing); and legal obligation.

7. Artificial intelligence

The Services include an identify-pest feature. A technician photo and related scan context may be sent to a third-party vision model to return a suggested identification, confidence, and related fields. Output is probabilistic. It is not a licensed determination, treatment recommendation, or regulatory finding. The Customer must review output before relying on it.

The Services may also offer algorithmic route-optimization proposals. Those proposals are assistive. Published routes change only when a Customer authorized user accepts and publishes them.

We do not sell Customer Data. We do not grant AI providers a right to train their foundation models on Customer Data except as their then-current enterprise/API terms require to provide the requested inference. We instruct providers not to use Customer Data for their own advertising.

8. Device permissions

The professional mobile app may request camera access (pest photos, trap labels) and when-in-use location access (visit and scan context). Permission is granted in the operating system. Denying a permission may disable the related feature. We do not use those sensors for advertising.

9. Customer portal

A Customer may invite its own clients to a separate portal. The Customer decides who is invited, what locations they can see, and when access ends. We process portal account and grant data as a processor for that Customer. Portal summaries are limited operational views (for example last completed visit and upcoming planned visit). They are not a substitute for the Customer’s own notices to its clients.

10. Cookies and telemetry

We and our vendors use cookies, local storage, and similar technologies on web surfaces, and device identifiers in mobile apps, to keep sessions working, remember preferences, measure product use, and capture technical errors.

  • Better Stack receives sanitized application logs, errors, and traces so we can operate and support the Services.
  • PostHog may collect product analytics and session replay on the web dashboard and customer portal (inputs masked where configured). It is not used on the professional mobile app.
  • Vexo may collect product analytics on the professional mobile app when enabled.
  • The public marketing site uses self-hosted Plausible and Vercel Web Analytics for cookieless pageviews and conversion events (for example booking-page views and scheduled demos). It does not use advertising cookies.
  • The /book page embeds Calendly so you can schedule a demo. Calendly processes the information you enter in that widget under Calendly’s own terms and privacy policy.

These modules are fail-closed when disabled or unconfigured. You can block cookies in your browser; some features may stop working. We do not use marketing-site cookies to sell personal information.

11. How we share information

We share information only as follows:

  • Service providers that host or process data for us under contract, including infrastructure (currently Supabase), AI inference (currently Anthropic for identify-pest), error and log hosting (Better Stack), product analytics (PostHog, Vexo), marketing-site analytics (self-hosted Plausible, Vercel Web Analytics), demo scheduling (Calendly), email delivery, and mapping or routing providers used to display locations and driving directions.
  • The Customer and its Authorized Users, for Customer Data in that organization.
  • Professional advisers and authorities when required by law, valid legal process, or to protect rights, safety, or the security of the Services.
  • Corporate transactions (for example a merger or sale of assets), subject to appropriate confidentiality.

We do not sell personal information and we do not share it for cross-context behavioral advertising as those terms are used in the California Consumer Privacy Act, as amended.

12. International transfers

Lynsoft LLC is organized in the United States. The Services are used by organizations in Mexico and other countries. Account Data and Customer Data may be stored and processed in the United States and in other countries where we or our processors operate. Those countries may have data-protection rules different from your own.

Where required, we use appropriate safeguards for such transfers (including contractual clauses with processors). By using the Services or submitting information, you understand that your information may be transferred to the United States.

13. Retention

  • Account Data: for the life of the Customer relationship and typically three (3) years after the account closes, unless a longer period is required.
  • Billing and tax records: typically seven (7) years.
  • Support correspondence: typically three (3) years.
  • Security and access logs: typically twelve (12) months.
  • Customer Data: for as long as the Customer maintains it in the Services. After termination we make an export window available as described in the Terms, then delete or de-identify Customer Data from active systems, except copies retained in backups until they rotate, or records we must keep for law, dispute, or security.

14. Security

We use administrative, technical, and organizational measures appropriate to a multi-tenant operations platform, including encryption in transit, access control, and tenant isolation. No method of transmission or storage is completely secure. You are responsible for account credentials, device security, and the accuracy of the data your users enter.

15. Your rights

Mexico

If Mexican data-protection law applies to you, including the Federal Law on Protection of Personal Data Held by Private Parties (LFPDPPP) and any successor legislation, you may request access, rectification, cancellation, or opposition (ARCO), and withdraw consent where processing is based on consent, by writing to [email protected]. We will respond within the time the applicable law requires. If the request concerns Customer Data, we will refer you to the Customer or handle it as that Customer’s processor.

United States, including California

Depending on your state, you may have the right to know, access, correct, or delete personal information we hold as controller; to opt out of sale or sharing (we do not sell or share as defined above); and not to receive discriminatory treatment for exercising a right. Submit a request to [email protected]. We may need to verify your identity. You may use an authorized agent where the law allows.

Categories of personal information we collect as controller, in the last twelve months, include identifiers, commercial information about inquiries or subscriptions, internet or electronic-activity information, and professional or employment-related information (company and role). We collect precise geolocation and photographs only as Customer Data when a Customer’s users enable those features — see Sections 5, 7, and 8.

Marketing and account

You may unsubscribe from marketing email using the link in the message or by contacting us. Authorized Users can update many profile fields in the product. Organization owners control staff and portal access.

16. Notice to end customers and field staff

If a pest-control company uses Arthropix to store your contact details, property address, inspection photos, or visit history, that company is responsible for telling you how it uses your information and for honoring your requests. We process that information to provide the software they subscribed to, including optional portal access they enable.

17. Children

The Services are for business users who have reached the age of majority (typically 18). We do not knowingly collect personal information from children. Customers must not enter information about children. If you believe we have received children’s data, contact [email protected] and we will delete it from active systems.

18. Changes

We may update this Policy. We will post the revised Policy on this page and change the date above. Material changes will be announced by email to the Customer’s primary contact or by in-product notice at least thirty (30) days before they take effect, unless a shorter period is required by law. Continued use after the effective date constitutes acceptance of the updated Policy.
